A World Expo is a unique opportunity for a country and its economy and various other players to present themselves to the world.

After having been postponed by one year, the world will come together for the next World Expo: Expo 2020 Dubai in the United Arab Emirates from October 1, 2021 to March 31, 2022, the first post-COVID-19. “Connecting Minds, Creating the Future” is Expo’s main theme and the site of Expo 2020 Dubai has three separate districts, representing Expo’s sub-themes: opportunity, mobility, and sustainability. Belgium and its Regions and Communities participate with our Belgian Pavilion, situated in the mobility district.

Belgian international construction group BESIX, with a strong sixty-year local

presence in the UAE, has taken on the design & build project for the pavilion together with Belgian architects ASSAR Architects and Vincent Callebaut Architectures. They joined forces to design an aesthetic and functional pavilion that will be able to welcome around 15.000 visitors a day.

BelExpo, thereto mandated by our national and federated governments, wants to present a green and smart Belgium and show that we are a pioneering nation with a comprehensive platform for opportunities that are open to the world. The “Green Arch” wants to exhibit Belgian industrial, technological and scientific know-how and promote this internationally. This arched monolith, sober and elegant, reflects our

“belgitude”, a clever mix between Latin romanticism in the field of art and Anglo- Saxon technical precision in the technical branches.

We want the Belgian Pavilion to be a real forum for our companies, enterprises, and institutes and showcase their collective know-how, their products, services, and solutions. This can be achieved, among others, by integrating construction materials in the building, by including services in the visitor experience or by using products in the fast-food shops or the Belgian restaurant.

This leaflet provides you with some additional information on the Belgian pavilion and on the potential return, we can offer our partners who are willing to provide us with their materials, services or products.

We welcome any opportunity to join forces with Belgian partners and invite you to imagine with us how we can make each other’s projects stronger!

PAVILION OVERVIEW

Video wall: The video wall will be placed at the exit of the pavilion.

"Wall of fame": The wall of fame will display the logos of our partners. This wall will be located at the exit of our pavilion and will, therefore, be seen by all our visitors when leaving the Belgian Pavilion.

Business center: Our business center will be able to host 130 people in an auditorium setting, 160 people in a cocktail setting and 100 people for seated dining. There is also a smaller meeting room with different options for seating. The business center will have standard facilities such as an audio-visual installation, chairs, (cocktail) tables, etc.

Restaurant: Our restaurant will be managed by a joint venture between SWR Investment and Creneau International. It will be able to seat up to 200 people.

High-quality Belgian specialties will be served alongside the best Belgian beers which you will be able to find at the bar.

Rooftop: The rooftop will be outfitted with a lounge area in the center of the open space. Surrounding this area, there will be a more active zone where people can stroll around and enjoy the superb view. The rooftop seating elements can be arranged in a free set up to accommodate specific events.

Opening hours: the Belgian Pavilion will be open from 10:00 a.m. to 01:00 a.m.

and 02:00 a.m. on Thursdays and Fridays (weekend), during the entire Expo period from October 1, 2021, to March 31, 2022.

On February 5th, 2022, the Belgian National day will take place at Expo 2020 Dubai. The whole Expo site will come together in the spirit of our National Day and different events will take place.

Several regional events will take place during the Expo. The Flemish week will take place from 24th until 28th of October 2021. The Walloon week will take place from 7th until 13th of November 2021 and the Brussels Week will take place from 30th of January until the 4th of February 2022.

The Belgian Pavilion at the World Expo Dubai 2020 has a Business Centre covering 130 m² and an adjacent reception/VIP salon of 43m², all on the third floor. This multi-purpose area is the perfect place to put your activity or organisation in the spotlight with an exclusive event.

Business Centre capacity (maximum)

In addition to the Business Centre, the pavilion also features a restaurant on the third floor, which is accessible to the general public and seats 200 people. At your

request, a section can be reserved for private lunches and dinners.

All food and beverage activities, including the catering at the Business Centre, are managed by Creneau International LLC & SWR Investment LLC, who have been operating in the UAE for many years with 17 restaurants.

The pavilion's cherry on the cake is our rooftop terrace: a lounge bar providing a wondrous view of the Expo site while unwinding under the Arabian sky. The rooftop terrace is accessible to the public but can be partially booked for breaks during your event in our business centre.

BelExpo can help you choose between the various catering packages and in making your reservation. The fully equipped Business Centre can be rented for the following rates, including a host(ess) to welcome visitors, standard audiovisual equipment and a coffee break for each part of the day. Upon request, BelExpo can also provide those renting the Business Centre with a VIP reception at the entrance of the pavilion during opening hours, plus a guided visit to the 500m² exhibition zone dedicated to the future of Belgian mobility.

25% of the total sum must be paid to BelExpo within ten days of receiving the invoice. In the event of cancellation, the deposit is non-refundable. Your reservation shall only be guaranteed upon receipt of this sum and shall be automatically cancelled if the sum is not transferred.

The remaining 75% of the amount must be paid at least 4 weeks before the event.

Should you wish to rent the Business Centre on a variety of dates, we kindly ask you to complete one form for each date.

Cancellation terms and conditions:

If cancellation occurs more than 8 weeks before your event, the deposit of 25% paid at the time of booking will be retained.

1. Expo admission tickets and access to the Expo site 1.1 How to obtain admission tickets for the Expo site

You must purchase your admission tickets over the Internet or at a point-of-sale. The Belgian Pavilion isn't accredited to sell admission tickets by Expo2020 Dubai.

For more information about authorised points-of-sale, please go to

http://www.expo2020dubai.com. There is currently no official point-of-sale in Belgium.

1.2 What types of admission tickets are available?

Tickets are available:

for 1 day: 120 dirhams = about 30 euros for 3 days: 260 dirhams = about 65 euros for 1 month: 350 dirhams = about 87 euros for the season: 595 dirhams = about 150 euros

for the season - premium: 895 dirhams = about 225 euros for the season - ultimate: 1,295 dirhams = about 325 euros Special pricing:

1.3 Do guests also need an admission ticket?

All visitors, including guests of an event organised at the Belgian Pavilion, must have an admission ticket to the Expo site. Entrance to the Belgian Pavilion and the other Expo pavilions is free with the admission ticket.

Please don't forget that you are responsible for providing tickets to your guests (purchase and distribution).

1.4 What are the Expo site opening hours?

Expo2020 Dubai will last six months, from October 1, 2021 to March 31, 2022 and will be accessible 7 days a week from 10:00 am to 1:00 am during the week and from 10:00 am to 2:00 am on Thursdays, Fridays and holidays.

The retail areas of the pavilions, i.e. the business centre, the restaurant and the bar/lounge will be on the same schedule.

The areas dedicated to exhibitions and scenography will be accessible to the general public from 10:00 am to 10:00 pm.

Note that the opening time of the Expo site, i.e. 10:00 am, must be taken into

consideration when organising an event. Events cannot begin before 10:30 am given that it will take a few minutes for guests to enter the Expo site and reach the Belgian Pavilion.

1.5 How do guests access the Belgian Pavilion after they enter the Expo site?

The fact that there will likely be queues at the entrance doors to the Expo site, even for visitors with tickets purchased ahead of time, should be taken into consideration.

To gain quick access to the Belgian Pavilion, which is located in the mobility zone, it is recommended that you enter the Expo site either via the car park on the edge of the mobility zone or via the main entrance near the metro station then go to the Mobility area.

If you enter the Expo site by another door, a shuttle bus running on the outer

perimeter of the site will take visitors from one end of the site to the other. This mode of transport is available to all Expo visitors. Get off at the stops located in the

Mobility zone.

1.6 How do guests access the Belgian Pavilion?

Guests who have been formally announced, can enter the Belgian Pavilion via the entrance reserved for guests, i.e. the VIP entrance on the side wall of the pavilion.

The VIP entrance leads to a VIP reception area. Visitors are then accompanied to the entrance of the exhibition hall or directed to the business centre or the restaurant on the third floor.

For security reasons, you are asked to provide your guest list as soon as possible and to provide guests with an identification badge to facilitate their access to the Belgian Pavilion.

2. Your event at the business centre

2.1 How large is the business centre and what is its capacity?

The business centre is located on the third floor of the Belgian Pavilion. It is 130 m² with a reception room of 43 m². The entire space, combined 173 m², is available for rent.

When you rent the business centre, you rent the entire space for private use.

The maximum capacity is as follows:

Seminars/conferences: 130 people

Meeting room (U-shape): 24 – 30 – 48 – 62 people Lunch or gala dinner: 100 people

Walking dinner/reception: 160 people

2.2. What is included in the business centre rental?

2.3 How to use the business centre for an event

The business centre is private and used exclusively for the event. It can therefore be decorated and fitted out according to your needs. Frames are not allowed on the walls or ceiling (for more information on equipment delivery, please see Chapter 4 – Logistics). All expenses incurred for the decoration are at your expense.

First, there are conditions regarding the transport of guests to the pavilion. For more information, please refer to points 1.4 and 1.6.

There are also logistics restrictions in terms of bringing equipment and materials to the Expo site and to the Belgian Pavilion in particular.

2.4 What kind of events can be held at the business centre?

Organising events at the Belgian Pavilion's business centre provides a unique opportunity for networking, to invite customers and to increase visibility at a global event attended by over 170 countries. The Expo's organisers expect to host 25 million visits from Asia, the Middle East, Africa and Europe. Belgium is expecting 2 million visits to its pavilion.

The content of your event depends essentially on the guests targeted, your ideas and your wishes. We are at your disposal and will listen to your needs and help you organise your event. A quality catering service will be provided by professionals in coordination with BelExpo.

The business centre can host all types of events.

However, the organiser of Expo2020 Dubai has implemented a number of restrictions:

3. Catering services

3.1 Can catering be provided at the business centre?

Yes. The Belgian Pavilion can provide all catering services required for events. The service will be provided by the company that operates the pavilion's Belgian

restaurant via an order to BelExpo.

The business centre rental contract includes a standard coffee break in the morning and in the afternoon with coffee, tea and biscuits.

The coffee break buffet will be available for 30 minutes at the times agreed jointly.

The Belgian Pavilion can provide the following additional services:

All services are provided in the business centre. A price list for the menus and services provided will be available. If you have any specific wishes, we can work together to help you organise tailored events which meet your needs.

In order to ensure the quality and quantity of the services provided, we ask that you confirm the exact number of attendees at least five days prior to the event.

3.2 Can Belgian products be included on the menus?

Existing laws and regulations governing imports of Belgian products to the Arab Emirates will be in effect during the Expo. All imports will have to conform to this regulatory framework. No special regulations on goods imports will be implemented for the Expo.

3.3 What other catering options are available?

The Belgian Pavilion will have a restaurant on the third floor with capacity for 200 people, part of which can host private functions. It has an open-air terrace

bar/lounge of 275 m² on the fourth-floor roof, which can be entirely or partially used for private functions.

4. Logistics

4.1 Can you bring your own materials to decorate or fit out the business centre?

The business centre is private and used exclusively for your event. BelExpo can

discuss all of the arrangements you would like. However, no decorations are allowed on the walls or ceiling.

Your promotional materials must be self-supporting. Equipment deliveries must be made outside of the times the Expo is open to the public and using transport companies approved by Expo2020 Dubai.

Standard regulations are applicable to equipment imports to the United Arab Emirates. For more information about importing and exporting, please contact your Regional Representative (see contact information in point 4.2).

Storage space is very limited on the pavilion. This is the reason why we can only accommodate your equipment the day before the event.

4.2 Can equipment be brought on the day of the event?

All equipment deliveries must be made outside of opening hours, i.e. before 10 o'clock in the morning.

4.3 Can gifts be given to guests during the event?

Gifts must ideally be delivered by a transport company outside of public hours and in compliance with the regulations in effect for the type of product.

5. VIP services

5.1 Can VIP treatment be reserved for guests at the Expo site?

BelExpo can provide VIP treatment at the Belgian Pavilion, but not outside of it. VIP treatment on the entire site is provided by the organisers of Expo2020 Dubai.

5.2 Can VIP treatment be reserved for guests at the Belgian Pavilion?

VIP treatment can be provided for guests at the Belgian Pavilion and will be provided by pavilion staff.

All guests to an event organised at the Belgian Pavilion's business centre can enter the pavilion via the VIP entrance located on the side wall of the building.

The VIP entrance is also available to pavilion guests who are not attending an event organised at the business centre and only want to access the second floor to visit the exhibition area dedicated to mobility in Belgium.

Upon request of, and depending on their availability, the Commissioner General or the pavilion Director can welcome the VIP guests at the VIP entrance or in the

business centre.

The exhibition in the Belgian Pavilion has been designed such that visitors don't need a guide. Visitors can visit at their own pace and no guided tours of the exhibition are planned.

6. Programme

6.1 Who manages the event content?

The content of each event is the responsibility of its organiser. The Belgian Pavilion only provides the facilities to host your event. This means that, as the organiser, you will have to define your target guest group, send out invitations, purchase admission tickets, transport your guests to the Expo site and organise delivery of your

equipment and materials. We will, of course, assist whenever possible.

6.2 Can additional visibility be provided on the Belgian Pavilion during the events?

During your event at the Belgian Pavilion, your name and logo will be visible in different areas of the pavilion to be decided. We will inform you later about the format in which we will need your logo.

6.3 Can content be added to the exhibition section of the pavilion?

No space in the Belgian Pavilion has been set aside for temporary exhibits. The content of the permanent exhibition cannot be changed during the Expo.

No temporary exhibit elements can be installed in the exhibition space of the pavilion, in compliance with the regulations governing visitor flows. A temporary exhibit may potentially be held in the business centre.

7. COVID-19
