Visit Flanders focuses on the creation of B2B opportunities because personal contact with the professional leisure and meeting industry are still key to success. In 2013, a variety of work practices were in- troduced. Those include the creation of a new stand concept, adop- ting larger stand spaces for ease of use and at the same time, crea- ting a lower participation cost. The results will soon be evident! Visit Flanders supports the tourism industry and is fully engaged both in the organisational tasks as well as financial !

For 2014, Visit Flanders intend to continue this routine and takes the initiative with the organisation of the fifth Flanders-Brussels Travel Forum. Together with our partners, we’ll bring 300 foreign

leisure and meeting industry buyers to Flanders and offer them all a valuable B2B platform. Visit Flanders is also for the second consecu- tive year, ‘Official Premier Partner’ at WTM.

Visit Flanders will also provide additional information sessions for fairs and workshops that will enable the improvement of the overall business experience. The TVL teams for Fairs, workshops & events, Business Development and Meet in Flanders, are at your disposal!

India is one of the fastest growing economies in the world and has a greatly expanding travel market. As a result of the daily air con- nections from Delhi and Mumbai to Brussels Airport, Flanders and Brussels are even more attractive to Indian travellers.

The ‘Outbound Travel Roadshow’ will take you to five Indian hubs : Mumbai, Kolkata, Chennai, Hyderabad and Delhi. In each of these ci- ties, a business platform is provided. At each of the five workshops, you’ll meet about 200 decision makers, CEO’s and travel professionals from major Indian tour operators and travel agencies.

Fairs: formula

A company or organisation that wishes to take part in a (trade) fair with Visit Flanders can do so in two different ways (2 participation formulas).

Depending on the type of fair, only one formula or both formulas may be available.

BUSINESS PLUS ACCESS ONE

Participants do not have their own table but are allowed to use of the general stand infrastructure (Access One zone) and pay a fixed fee per day.

The participant can delegate one (1) person to the stand.

In addition, the participant enjoys the following benefits on the reserved days:

Access One Formula 1

- free transport of documentation to the fair, unless communicated otherwise.

- listing of name and address in the official fair catalogue;

- stand badge/acces badge;

- WIFI;

- invitation of clients to the stand;

- free use of all utilities at the stand such as storage space, bar (free beverages for the participant and clients on presentation of the stand badge), catering (daily sandwich lunch for the participant - light snacks/regional products for clients)

- reference (with presence dates) on the central sign with all the participants of the Access One zone as well as on the general participants sign at the info desk of the stand;

In this formula, it is not allowed to decorate the seats in the Access One zone individually or to reserve them/keep them constantly occupied.

It is forbidden to use the stand facilities on days that were not reserved before.

During the entire period of the fair, the participant has one (1) table with 3 or 4 seats and can delegate one person (1) to the stand. On payment of a supple- ment, the participant in the ‘Business +’ formula can delegate a second person to man the same table.

In addition, the participant enjoys the following benefits:

This supplement will give the right to a second access/stand badge and to the use of all stand facilities by the extra person (including the use of the bar and possible catering)

Only persons of one and the same organisation/company can use this pos- sibility. Representatives of different individual hotels within one single hotel group for instance, are not eligible.

During the workshops/road shows, every participant basically has one table with 3 or 4 seats, with reference to the company/organisation on or near the table. Deviation from this formula is possible in order to pursue a more efficient course of the workshop/road show. This is communicated to the participant prior to the event.

The possibility of individual decoration on/at the table will be communicated with the invitation.

Unless stated otherwise on the registration form, the participation fee always applies to one person per company/organisation. If requested explicitly, the or- ganiser can allow a second person of one and the same company/organisation for certain workshops, on payment of a supplement.

Extra person: Only persons of one and the same organisation/company can use this possibility. Representatives of different individual hotels within one single hotel group for instance, are not eligible.

Registration

Article 1 (TF/WS/RS)

1. Every Flanders/Brussels tourism company/organisation that wishes to participate in a (trade) fair or a workshop/road show, can only do so by registering online via the following link:

Visit Flanders always uses the “First come, first served” principle and registrations are only guaranteed after written confirmation by the organiser.

2. Only companies or organisations that aim at the promotion or commercia- lisation of tourism products in and to Flanders/Brussels can register.

3. The applicable basic principle is that the organiser assigns one place/

formula per participant. The organiser can deviate from this when the available space at the stand allows for it.

4. The organiser can refuse a registration for the following reasons:

a. late submission of the registration;

b. a) companies/organisations whose representatives have not observed the organiser’s (Trade) Fairs, Workshops & Road Shows (Leisure & Meetings Industry) Rules and Regulations;

c. a) companies that pursue illicit and unlawful activities or activities that are not in agreement with the purpose described in article 1 (1-2), or that do not have the required licences;

d non-payment as a result of earlier events.

Article 2 (TF/WS/RS)

1. At trade fairs, the places are assigned based on the chosen participa- tion formula:

a. the ‘Business +’ formula;

b. the ‘Access One’ formula.

2. The organiser can deviate from Article 1 in case of lack of space on the stand and in case of late registration of the participant. This will be clearly communicated to the participant prior to the event.

3. The organiser has the right to refuse a registration when the product service of the registered person is not in agreement with the aim of the action for which the registration has been made. This will be clearly communicated by the organiser to the participant before the final confirmation.

4. The organiser unilaterally determines the maximum number of partici- pants to the different actions. In the event of a disproportion between the number of exhibitors and the number of visitors, the organiser can revise that number and cancel registrations.

Registration

Article 3 (TF/WS/RS)

In due course, the organiser will communicate to the registered person whether his/her registration has been accepted or refused.

Article 4 (TF/WS)

A valid registration form is binding for the participant (see also Cancellation Conditions).

Article 5 (TF/WS/RS)

The organiser commits himself to provide the registered person with all documents and useful information in time, so as to allow adequate time for preparation.

Article 6 (TF)

Only the participant registered under the ‘Business +’ formula or ‘Access One’ formula has the right to make or maintain commercial and/or PR con- tacts at the stand and to use the stand facilities.

Article 7 (TF)

1. Companies/organisations that have not registered as a participant under the formulas mentioned above are strictly forbidden to visit the stand in order to make or maintain commercial and/or PR contacts and to use the stand facilities.

2. Violation of art. 7, will result in removal of the companies/organisations from the stand and possible exclusion from similar events or promoti- onal actions in the future.

Article 8 (WS-RS)

Only rightfully registered participants have access to the venue where the workshop/road show takes place and enjoy the facilities that are associa- ted with the action.

Article 9 (TF/WS-RS)

The organiser will inform the participant in due time whether his/her parti- cipation is accepted/rejected.

Article 10 (TF/WS-RS)

1. The participant under the ‘Business +’ formula is expected to man his table during the entire term of lease (the whole fair). Please inform the personnel of the info desk upon leaving the stand.

2. During fairs, workshops/road shows and associated events, appropri- ate ‘business smart or business formal’ clothing is required.

3. During fairs, workshops/road shows and associated events, the partici- pant must permanently wear the (stand) badge which is put at his/her disposal by the organiser.

4. During fairs, workshops/road shows and associated events, any pos- sible catering (food & drinks) that is provided by the organiser is only put at the disposal of persons who have a valid (stand) badge - which is given at their disposal by the organiser.

Payment

Article 11 (TF/WS-RS)

The participation fee is based on cost elements one year prior to the published shows or workshops However, an important variation of the cost may require fee adjustments. A possible increase of more than 10% of the participation fee that was mentioned originally gives the participant the right to cancel his registration free of charge.

Article 12 (TF/WS-RS)

The amount to be paid must be settled within the terms mentioned on the invoice, in agreement with the conditions mentioned on the invoice, under penalty of being excluded from participation in future trade fairs or workshops-road shows.

Cancellation

Article 13 (TF/WS-RS) Cancellation by the organiser:

The organiser can cancel the participation in a trade fair or the organisation of a workshop/road show in the event of an insufficient number of partici- pants or visitors, or in a case of ‘force majeure’. In this case, the organiser will refund the participation fees that may already have been paid, within 30 working days after the cancellation date.

Article 14 (TF/WS-RS)

Cancellation by the participant:

1. In the event of cancellation by the participant up to two months prior to the starting date of the fair/workshop/road show, the organiser will charge 20% of the total participation fee.

2. In the event of cancellation by the participant less than two months prior to the starting date of the fair/workshop/road show, the organiser will charge 100% of the total participation fee.

3. Cancellations that do not take place in agreement with art. 14 of the present Rules and Regulations will not lead to the reimbursement or debit of unpaid invoices.

Design, decoration and use of the stand

Article 15 (TF)

The organiser is solely responsible for the general and individual design and decoration of the stand and ensures that the concept of the stand is respected. The participant may not modify the design/arrangement of the stand, nor introduce his own decoration, unless stated otherwise on the registration form. The organiser determines the assignment/distribution of the different tables in the ‘Business +’ formula and constantly monitors the use of the ‘Access One’ zone as well as the general stand facilities.

Article 16 (WS-RS)

The organiser is solely responsible for the design, decoration and arran- gement of the venue and for the assignment of the different tables to the participants.

Article 17 (WS-RS)

1. Unless it is explicitly mentioned in the invitation or confirmation of participation, the participant may not introduce individual decoration in the venue/room/on or around the table.

2. The participant may not modify the arrangement of the room.

Article 18 (TF)

The participant is not allowed to re-lease the leased space/formula explicitly or implicitly to third parties, under penalty of immediate and permanent exclusion.

Article 19 (TF/WS)

The participant is not allowed to distribute or to commercialise documen- tation by third parties which is not his own and which is known as such by the organiser.

Liability

Article 20 (TF/WS-RS)

The organiser cannot be held liable for:

1. an incorrect publication of the participants details on the stand/work- shop/road show or in the official fair catalogue when the information provided on the registration form is incorrect;

2. the absence of documentation by the participant at the fair/workshop when that documentation did not meet the set terms of delivery or was not supplied at the place and time mentioned on the registration form;

3. the loss of objects/brochures during the transport to the (trade) fair/

workshop-road show.

Article 21 (TF/WS-RS)

The organiser cannot be held liable for loss or theft during a (trade) fair/

workshop-road show.

Article 22 (TF/WS)

Every violation or non-observance of the present Rules and Regulations by the participant can result in exclusion from future actions, even when a registration for this has already been made.
